How to Automatically Clean Your Email Folders

Folder Auto-Clean automatically purges your email folders based on the size of a folder or age of a message; freeing up your email account disk space quota from junk, deleted and unwanted emails.

This feature needs to be enabled by your email administrator.

  1. Log in to webmail i.e.
  2. On the top menu bar, click Settings (gear icon).
  3. On the navigation pane on the left, click Folder Auto-Clean.
  4. Switch on Override auto-clean settings. Note, you will only see this option if your email administrator has enabled Folder Auto-Clean.
  5. Click on New Rule.
  6. Select the folder you would like auto-clean, the type of rule, configure the associated options then click Save.
    1. Size: If you selected Size, emails will be removed from the folder when it has reached the folder capacity you set. In the example below, when the size of the Deleted Items folder is over 100 MB, emails from the folder will be removed until the size of the folder is 75 MB.
    2. Age: If you selected Age, emails will be removed from the folder when older than the specified number of days you choose. In the example below, any emails in the Deleted Items folder that are 31 days or older will be removed.
  7. Click Save.

Please note that once the messages have been purged they can’t be retrieved. Thus, ensure you provide yourself enough time to review your folders before they are auto-cleaned.
